As an Office Manager, once logged into the Ally Voice portal, you must click on your name in the top right corner to go to "My Account" to access the Fax page.
Basic Users will see the Fax page icon upon first login.
Users can receive an email notification with or without an attachment when a fax is received.
Please contact us if you wish to implement or change email notifications.
Click the dropdown menu on the left to view your inbox or sent faxes.
There is a download icon to download the fax.
The magnifying glass icon will give you a preview of the fax so you can scan for the one you want without needing to download each to view.
Send a Fax
Fax Portal
Once you are under the Fax Page you can click the Send Fax button to draft your fax.
Cover page options are None, Compose (which will populate a text box to enter your cover page information), or File (which will populate a field to attach a file).
If you have a fax number allocated to your Ally Voice user, you will see your fax number populate in the Caller ID field.
If a fax number has not been allocated to your user, you will see 0000000000 as your caller ID.
The Ally Voice portal will use a random proxy number (ex 321-456-7890) instead of 0000000000 to send the fax outbound.
You will not be able to receive faxes to the proxy number that outbound faxes are sent with.
Instant-Fax / Email to Fax
- Users with a valid email address configured on their user may also send faxes outbound using the email configuration 1xxxxxxxxxx@instant-fax.com
- The 1 for the country code must be included ahead of the 10-digit fax number you wish to send to, ex. 12567403919@instant-fax.com
- Faxes sent using this method will only transmit the documents attached to the email, which means any message in the body or subject will not be transmitted as part of the fax.
- Faxes sent using the email configuration will use a random proxy fax number, ex. (321)567-6876, if you do not have a fax number associated to your Ally Voice user email.
- You cannot receive faxes to these proxy fax numbers.
It is possible to attach multiple files in your email to fax.
The files will all be combined into a single PDF document, based on an alphabetical file name sorting.
With this in mind, if you want your cover sheet to be first, name your document file something like 1CoverSheet.pdf to ensure it is sorted first, followed by other documents you may also have attached.
The system accepts the following file formats: html; pdf; doc; docx; odt.
Changes to the email address(es) of Users takes effect after 1 hour.
You can have a Fax Caller ID associated to your email address when sending an outbound email-to-fax. Please submit a ticket for this request.
This will allow faxes you send via email to appear in the portal in the Sent folder of your Fax page.
